The day-25 nudge that keeps your Net 30 invoices on track

Waiting until an invoice is overdue costs you leverage and cash. Here's the one message a small B2B business should send on day 25 — while you're still the good guy.

Most accounts-receivable problems are not payment problems. They are attention problems. Your client's AP team has 40 invoices in the queue, a payment run scheduled for Friday, and yours is sitting at number 38. The nudge that fixes this costs you 90 seconds — but it has to land before day 30.

Why day 25 is the only window that matters

A Net 30 invoice that goes unpaid past day 30 puts you in an awkward position. You are now chasing, not reminding. The tone shifts, the relationship gets a little colder, and your client's AP contact starts avoiding your name in the inbox.

Day 25 is different. You are still inside the terms. You have every right to make contact, and you can do it from a position of helpfulness rather than frustration. You are not asking for something that is overdue; you are making it easy for them to pay something that is about to be due. That framing matters enormously in a stable, recurring B2B relationship.

For a small business billing £12,000–£60,000 a month to a core set of clients, a single invoice slipping five days past terms can pinch a payroll run or push a supplier payment to the edge. The day-25 nudge is not admin; it is cash-flow management.

What the message should actually say

Keep it to three sentences. Here is the structure:

  1. Reference the invoice directly (number, amount, due date). Do not make them search.
  2. Confirm payment details are correct and offer to resend or provide a direct link. AP teams reject invoices for missing PO numbers or incorrect bank details far more often than you think.
  3. Give them one action to take — reply with a confirmation, click a payment link, or flag any issues.

A concrete example for a supplies business:

Hi Sarah, just a quick note that invoice #1047 (£4,200, due 30 June) is coming up in five days. Everything should be on file, but I've included a direct payment link below in case it's easier. Let me know if you need anything from our side.

No apology. No passive aggression. No "as per my last email." Warm, specific, one clear next step.

What not to include

  • Do not mention late fees at day 25. Save that for day 32.
  • Do not copy their manager or procurement lead. That is a relationship tax you cannot afford on a recurring client.
  • Do not send it at 4:45pm on a Friday. Tuesday or Wednesday morning, before 10am, is when AP inboxes get processed.

The payment details trap that kills day-25 nudges

The most common reason a day-25 nudge fails is that the client replies "can you resend the invoice with the correct PO number" and you lose another week. Prevent this by doing a 60-second audit before you send:

  • Is the invoice number on their PO or contract?
  • Are your bank details current (SEPA IBAN, sort code, ACH routing)?
  • Is the VAT treatment correct for a UK or EU B2B client?

If you are selling across borders, reverse-charge VAT on EU B2B invoices is a common sticking point. An invoice that shows VAT charged incorrectly will sit in accounts payable purgatory until someone flags it.

How most people do it

  • Chase by email on day 32, after the invoice is already late.
  • Scramble to find the invoice PDF and resend it manually.
  • Forget to include bank details or send outdated wire info.
  • Manually check each invoice status across a spreadsheet or email thread.
  • Fix VAT errors on EU invoices after the client flags them.

How ZenPay does it

  • Auto-reminders fire on day 25 (or any N days before due) in your name, with an editable template.
  • Shareable invoice links let the client pay in two clicks, no portal account needed.
  • Bank details, SEPA, ACH, and BACS are saved per account and print on every invoice automatically.
  • Per-invoice payment tracking shows partial payments, outstanding balances, and status at a glance.
  • Per-invoice reverse-charge VAT toggle ensures EU B2B invoices are correct before they're sent.

Build the nudge into the system, not your calendar

Sending the day-25 reminder manually works once. It breaks down the week you are at a trade show, covering for a sick team member, or simply busy. The businesses that consistently collect on time treat the reminder as infrastructure, not a task.

If your invoicing tool lets you set a pre-due reminder, configure it once per payment terms preset and forget about it. The reminder goes out in your name, referencing the correct invoice, with a payment link. Your client's AP team gets what they need. You get paid on Friday's payment run rather than the one after it.

The relationship angle most guides ignore

A well-timed, polite nudge does not damage a B2B relationship. In most cases, it improves it. AP contacts are humans managing a backlog. When you make their job easier by flagging an upcoming payment clearly, you become the vendor they process first because you're the least friction.

Over a 12-month retainer or supply agreement, that reputation compounds. Clients who know you run a tight ship extend better terms, flag issues earlier, and refer you to peers. The day-25 nudge is not just a cash-flow tool. It is the smallest possible investment in being a business your clients enjoy working with.
